How to Set Up a Virtual Office for Your Startup

Starting a business means deciding where every dollar should go. You need to attract customers, build trust, and present yourself professionally—but a full-time office may be more space and expense than you need.
As the owner of Brownstone Office Park in Mandeville, I’ve seen how important a professional location can be. Some customers hesitate to hire a company with no listed business address. They want to know where the company is based and whether there is a place to meet.
A virtual office can help bridge that gap. It gives your startup a business address and access to useful services while you continue working from home, on the road, or wherever your work takes you.
We introduced virtual offices at Brownstone to help businesses grow. Here’s what I recommend considering when setting one up.
1. Choose a location in the area you serve
One mistake I see is choosing a virtual office solely because it offers the lowest price—even when the address is nowhere near the business’s customers.
My advice is to choose a location that makes sense for the way you work.
Before signing up, ask yourself:
Is this location in the area my business serves?
Is it convenient for collecting mail?
Can my clients get there easily?
Would I feel comfortable inviting a customer to meet me there?
Is workspace available when I need it?
For businesses serving Mandeville, Covington, and the surrounding Northshore, a Mandeville location can provide a practical local base.
The address should be more than something you put on a website. It should be a place that supports your business.
2. Look at the services behind the address
A professional address is valuable, but the day-to-day services are what make a virtual office useful.
At Brownstone, our virtual members appreciate having a physical place to receive mail, conference rooms where they can meet clients, and workspace they can rent when they need a break from working at home.
Before choosing a provider, find out:
Who receives and holds your mail?
Can you arrange mail scanning when you’re away?
How do you book a meeting room?
Is someone available to welcome your clients?
What is included in the membership, and what costs extra?
These questions help you compare the actual service you’ll receive.
3. Match the plan to how you work
One of our virtual clients is an attorney who likes being able to serve his clients without paying for a full-time office.
He uses receptionist call answering, meets clients in our conference rooms, and rents workspace by the hour when he needs it.
His experience illustrates why a virtual office can work well: you can arrange the support and space you need without maintaining an office every day.
Think through your own working week. If you usually work from home but need a professional setting for occasional meetings, a virtual office with bookable conference rooms may fit your business well.
If you need a dedicated place to work every day, compare the cost of frequent rentals with a full-time office.
Phone answering, mail scanning, and workspace use may involve additional services or charges. Confirm those details before choosing a plan.
4. Understand the cost of getting started
At Brownstone, our Entry Virtual plan starts at $69 per month, payable monthly.
We want to make it easier for a new business to get started, so we no longer require a full year’s payment in advance.
We are currently offering $50 off the setup fee, reducing it from $99 to $49. With that promotion, the initial payment is:
Item | Cost |
First month’s Entry Virtual membership | $69 |
Discounted setup fee | $49 |
Total to get started | $118 |
Our Entry Virtual plan includes:
A business address.
Mail receiving and holding for pickup.
Receptionist greeting for your clients.
Free parking.
Wi-Fi when using the facilities.
Access to rent conference rooms and semi-private day office desks.
Conference room and desk rental charges are separate from the Entry Virtual membership. Having access to reserve a room does not mean rental hours are included.
Monthly payments help spread out your expenses. Before enrolling, review the membership agreement for the commitment period, renewal terms, and cancellation requirements.
The setup discount is a current promotion. Confirm availability and membership terms when enrolling.
5. Sign up and activate your services
At Brownstone, enrollment runs through our website and OfficeRnD. Members can manage payments, invoices, and workspace bookings through the online system.
Before using your new address, complete the membership agreement and any required identification or mail-authorization paperwork. Confirm that your service is active and obtain the exact mailing-address format.
It’s also a good time to decide how you want your mail handled.
Our team collects members’ mail for pickup. Mail can also be opened, scanned, and emailed by arrangement. Ask which services are included in your plan and what additional charges apply.
Choose a routine that fits your business so important correspondence gets your attention promptly.
6. Make client visits professional and easy
A physical business location can help establish confidence. What happens when a client arrives matters just as much.
Once you’re a Brownstone member, you can reserve a conference room or semi-private day office desk through the booking system, subject to availability. When arranged, our receptionist can greet your clients and direct them to the meeting room.
Before inviting a client, confirm the reservation, provide clear arrival instructions, and let reception know whom to expect.
For confidential conversations, book a conference room. Our day office desks are in shared, semi-private workspace and should not be treated as private meeting rooms.
This distinction is especially important for professionals handling sensitive client information.
7. Update your business information accurately
Once your membership is active, add your business mailing address to appropriate materials, such as your website, proposals, invoices, and email signature.
Keep the address format consistent and explain whether client visits require an appointment.
Check address requirements separately with your bank, licensing agency, and business registration authority. A virtual office membership does not automatically satisfy every address requirement or include registered-agent services.
What about Google Maps? A virtual mailing address alone does not qualify a business for a Google Business Profile. Google has separate eligibility rules. Eligible businesses that travel to customers may qualify as service-area businesses without displaying their home address. Do not choose a virtual office on the assumption that it guarantees a Google Maps listing.
A professional place to help your business grow
A business address alone won’t earn a customer’s trust. Your service, expertise, and follow-through still matter.
But having a professional location where you can receive mail, welcome clients, and hold meetings can help you present your business confidently.
That is why we offer Brownstone Virtual Business Plans: to give entrepreneurs a useful business base without requiring a full-time office lease.
